1. Payment Terms
- Booking Deposit (30%) – A non-refundable deposit of 30% of the total quoted amount is required to secure your event date and suppliers. This deposit confirms your booking and will be deducted from the final balance.
- Second Payment (40%) – Due 3 months prior to the event.
- Final Payment (30%) – Due 30 days prior to the event.
Late payments may incur a 5% surcharge and may result in delays or cancellation of services.
Payments must be made by bank transfer, card, or other agreed method.
Payment instructions will be provided on your invoice or confirmation email for security purposes.
2. Travel & Event Charges
- Standard travel up to 10 miles from The Regalia Florals’ base is included in your quote.
- Travel beyond 10 miles or additional on-site services will be charged and added to the final invoice.
3. Booking Confirmation
- Bookings are confirmed only when the deposit is paid and acknowledged in writing.
- After signing, The Regalia Florals will confirm all terms in writing.
4. Changes & Additional Services
- Changes to timing, venue, or scope must be requested in writing and may incur extra charges.
- Additional services (e.g., extra floral arrangements, decor styling) will require a revised invoice.
5. Cancellation Policy
- Cancellations must be made in writing. Charges apply as follows:
- 9+ weeks prior: Deposit forfeited
- 8–9 weeks prior: 75% of total fee
- 8 weeks or less: Full fee payable
6. Responsibility & Limitations
- The Regalia Florals will make every effort to fulfil the engagement but cannot accept responsibility for non-performance due to circumstances beyond our control (e.g., extreme weather, industrial action, venue restrictions).
- Partial refunds (up to 40%) may apply depending on circumstances.
7. Illness or Substitutes
- In the event of illness, a qualified substitute will be provided, where possible.
- Excessive client lateness may incur a £50 fee per additional half-hour after a 30-minute grace period.
8. Liability
- Our liability is limited to the total contract value.
- We are not responsible for allergic reactions or staining caused by flowers or materials unless prior instructions were given and ignored.
9. Intellectual Property
- All floral designs, concepts, and styling remain the property of The Regalia Florals Ltd.
